Two different things get called an AI agent, and the difference matters when you are deciding what to build.

Assistants

They answer. Ask what a client agreed, what is outstanding, what a document says, and get an answer drawn from your own material with its sources attached.

Agents

They act. Draft the reply, file the document, update the record, start the process, within limits you set and with approval wherever it counts.

Most businesses should start with the first and grow into the second. An assistant is useful on day one and carries almost no risk. An agent is more valuable, but it earns that by being trusted, and trust is built on watching it be right about your actual work for a while first.

Grounded in your material, not the internet

The single thing that makes an assistant useful rather than novel is what it is connected to. Ours read your documents, projects, mail and records, so the answer to "what did we quote them last time" comes from the quote itself rather than a plausible guess.

Every answer carries its sources, so checking it takes one click. That is what makes it safe to rely on, and it is the practical difference between a subscription tool and a system built on your own data.

Permissions are inherited, not bolted on

An assistant that can read everything is a problem in any business where not everyone should see everything. Ours inherit the permissions the person already has, so an assistant can only surface what that individual could have opened themselves. Nothing becomes visible just because it was asked for conversationally.

A human stays in the loop where it matters

Anything with consequences, sending, spending, publishing, deleting, goes through an approval step. The agent prepares the work and a person releases it. That is not a limitation to be engineered away later, it is the design, and it is why these systems survive contact with real operations.

Agents are usually built alongside the automation that moves work through your business, rather than as a separate thing entirely.

Questions we get asked

What is the difference between an AI agent and a chatbot?+
A chatbot answers questions. An agent can also do things: look something up across your systems, draft and file a document, update a record, start a process. The useful distinction is not the technology, it is whether it is allowed to take actions on your behalf, and what guardrails sit around those actions.
How is this different from just using ChatGPT?+
A general assistant has never seen your business. It cannot tell you what a specific client agreed last March, because that lives in your own documents and systems. A custom assistant is connected to those sources, so it answers from your material and shows you where each answer came from. If a generic tool already solves your problem well, we will say so rather than sell you a build.
Can it access things a particular employee should not see?+
Not if it is built properly. The assistant should inherit the same permissions the person already has, so it can only surface what that individual could have opened themselves. An assistant that ignores your access rules is a data leak with a friendly interface.
What stops it from making things up?+
Grounding and citation. Answers are drawn from your actual documents rather than the model's general knowledge, and each answer shows its sources so a person can check it in one click. It will still be wrong sometimes, which is why anything consequential goes through an approval step instead of happening silently.
Is our data used to train public AI models?+
No. Your data stays private to your team. It is used to answer your questions, not to improve a model that other companies then benefit from.
